Survey mail-out and Reply Paid returns
Out through Australia Post, back through Reply Paid, and logged as it arrives.
What you send. Your respondent list. We provide a secure route for the transfer. If you're distributing forms yourself through schools, clinics, sites or events, send us a delivery address and the quantities per site.
Going out.
- Letter, form and Reply Paid envelope merged and inserted, with the name and address showing through the window
- Lodged with Australia Post, using PreSort and barcoding where the volume qualifies
- For mixed-mode surveys, a QR code and short link on the letter to your online survey, so respondents can choose paper or screen
Reminders. A reminder wave goes only to people who haven't responded. Before it's built, we remove everyone who has returned a form, everyone you tell us has completed online, and every address that came back undeliverable. The reminder can be a letter, a postcard, or a fresh copy of the survey with another Reply Paid envelope.
Coming back.
- Reply Paid envelopes addressed to us, so completed forms return without the respondent paying postage
- Every return logged on arrival, by respondent ID where the form is personalised
- Undeliverable and return-to-sender mail logged and reported
- Bulk returns accepted from sites you've distributed to
Return reporting. During fieldwork we report return counts to you daily or weekly: completed, undeliverable and outstanding. This lets you see response building and decide when to close or remind. If you need the respondent IDs behind the counts, including who has returned and whose mail came back, we can supply them on request as an extra. IDs are captured at scanning, so an ID list can run some weeks behind the mail count.
