What this policy covers

This policy covers personal information collected through the Creative Data Solutions website. It is separate from the way we handle respondent lists, completed survey forms and project data on behalf of clients. For that information, see Privacy and data handling.

We aim to handle personal information in accordance with applicable Australian privacy law, including the Australian Privacy Principles where they apply.

Information you provide to us

When you use the contact form, we collect the information you enter, such as your name, organisation, email address, phone number and message.

When you request a quote, we collect the contact information and project details you provide. These may include your name, organisation, email address, phone number, sector, survey type, approximate form and page counts, distribution and return method, personalisation needs, timing and any additional information you choose to provide.

If you contact us by phone or email, we may also keep the information you provide as part of normal business correspondence.

Technical information

Our web server and security systems may record technical information needed to operate and protect the website, such as the date and time of a request, the page requested, browser or device information and an IP address.

The website also stores your cookie preference so we can remember whether you selected essential cookies only or accepted optional cookies.

How we use personal information

We use information collected through this website to:

• respond to enquiries and quote requests;
• prepare and discuss services you have asked us about;
• operate, maintain and secure the website;
• prevent automated form abuse and investigate technical problems;
• measure website or advertising performance where optional tracking has been configured and you have accepted it; and

We do not use the contents of your contact or quote form for optional analytics or advertising tracking.

Cookies and optional tracking

We use a small number of cookies or similar browser storage mechanisms for website operation and your privacy choices.

Essential cookies

Essential cookies support functions such as form security and remembering your cookie preference. These are required for the website to work securely and for us to remember the choice you make in the cookie panel.

Optional analytics and conversion tracking

The website can be configured to use Google tags for analytics or advertising conversion measurement. These scripts are treated as optional and are blocked until you select Accept all in the cookie panel.

If you select Essential only, optional Google scripts are not activated. You can change your choice later using Cookie settings in the footer. If you change from accepting optional cookies to essential only, the site removes known optional Google cookies that it can access and reloads the page so those optional scripts stop running.

Google may set its own cookies and receive technical information about your visit after you accept optional tracking. Its handling of that information is governed by Google's own terms and privacy practices.

How website enquiries are sent

The website does not store contact or quote form submissions in an application database. After a valid submission, the information is sent to Creative Data Solutions by email.

The application is configured to use Amazon Simple Email Service (Amazon SES) in the Sydney AWS region for website email delivery. The submitted information is then handled as part of our normal business correspondence.

When information may be disclosed

We may disclose personal information where reasonably necessary to operate the website or provide a service you have requested, including to technology providers that support website hosting, email delivery, security or optional analytics.

We may also disclose information where required or authorised by law.

Where optional Google services are enabled and you accept them, technical website information may be processed in locations used by Google, including outside Australia. Client survey materials and respondent data are governed separately by our Privacy and data handling arrangements.

Storage and security

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, modification or disclosure. The website uses HTTPS and security controls intended to reduce common web risks.

No method of sending or storing information can be guaranteed to be completely secure. If you need to send sensitive project material, contact us first so we can agree on an appropriate transfer method rather than placing it in a general website form.

Retention

The website application does not keep submitted contact or quote requests in a database. Copies may remain in our email systems and business records for as long as reasonably needed to respond to the enquiry, manage a prospective or current client relationship, meet record-keeping requirements or resolve a dispute.

Your cookie preference is stored for up to 12 months unless you change it earlier or clear your browser cookies.

Access and correction

You may contact us to ask what personal information we hold about you or to request a correction. We may need to confirm your identity before providing access or making a change.

If you believe we have mishandled your personal information, please contact us first and describe the issue. We will review the matter and respond as reasonably practicable.
